‘City Jobs UK ‘; ‘we’, ‘us’,; and ‘our’; means ‘Candidates’; ‘You’, and ‘Your’ means any person, registering with us, or purchasing any of our services to assist with your job search.

‘Recruiter’; ‘You’, and ‘Your’ means any person, company, organisation or firm which purchases services from us to assist your recruitment needs.

This website is owned and operated by City Jobs UK and is made available to you on the following terms and conditions.

By using the site and the services available on it, you are deemed to accept these terms and conditions. If you do not wish to be bound by these terms and conditions, please do not register or use this website.

General Terms

The information and services available on the site are provided for the sole purpose of individuals looking for employment opportunities and career information and for employers seeking to recruit staff.

You may use, print and download information from the site for these purposes only and for no other personal or commercial purpose.

All copyright, database rights and other intellectual property rights in the site and the material available on the site belong to City Jobs UK or its third party suppliers.

Use of the site does not give you any proprietary rights to such materials.

City Jobs UK will permit the Candidate and Recruiter to access, use and interact with our site subject to these terms and conditions.

It is recommended that, if you are a Candidate, to ensure your suitability for the role advertised or, if you are a Recruiter, to ensure a work seeker’s suitability for the role, you should undertake the steps set out in the Conduct of Employment Agencies and Employment Business Regulations 2003.

 

All information and/or data included in and/or on the Website, the Services and/or in any directory or other listings or information retrieval service made available on or by the website and/or the services has been made available for guidance only.

City Jobs UK makes no representations or warranties about the accuracy, completeness, or suitability for any purpose of the information and related graphics published in this site.

The information contained in this site may contain technical inaccuracies or typographical errors. Your use of such information and/or data is therefore entirely at your own risk.

City Jobs UK will not limit access to material unless notified that it is illegal. In particular, you acknowledge that City Jobs UK is not responsible for and does not monitor the content of job postings provided by third parties on the website.

You agree to defend, indemnify, and hold harmless, City Jobs UK Ltd and their respective officers, directors, employees, and agents, from and against any claims, actions or demands,including without limitation legal and accounting fees.

These Terms will remain in full force and effect while you are a user of any City Jobs UK websites or services.

City Jobs UK may terminate, suspend, or deny you access to the Website and/or services immediately for any reason without incurring any liability whatsoever to you. Where you are asked to complete a registration form, the personal details that you provide must be true, accurate, and complete. You agree to notify us of any changes which are relevant to your registration.

 

Your personal data will be collected and processed by City Jobs UK in accordance with its privacy policy.

You hereby agree to these terms in our privacy policy by your agreement to the terms and conditions of this Agreement.

This Agreement shall be personal to you and you may not assign, transfer, sublet, lease, or delegate all or any of your rights, and obligations, prior written consent.

This Agreement constitutes the entire agreement between the parties in respect of its subject matter.

City Jobs UK reserves the right to vary this Agreement from time to time (including the services offered by City Jobs UK such changes shall either be notified to you by e-mail or posted on the home pages of the website. 

Any notices from us to you, or you to us, shall be sent by e-mail.

Please note that all calls may be recorded for staff training purposes.

This agreement shall be governed by the laws of England and Wales and you hereby submit to the exclusive jurisdiction of the English courts.

Additional Terms for Candidates

You acknowledge and agree that you are solely responsible for the form, content, and accuracy of any CV or material contained therein placed by you.

You should be aware (subject to the contact details you provide) that you may be contacted directly by recruiters by e-mail, post, or telephone.

City Jobs UK reserves the right to offer third party services and products to you based on the preference that you identify during your registration

City Jobs UK does not discriminate against anyone registering or using the platform.

We try to ensure that all possible measures are taken, to prevent any vacancies advertised, do not discriminate against age, disabilities, gender, or race.

Neither we, nor our third party suppliers, can guarantee their suitability, or prospect of success, in any particular case.

 

You should obtain independent verification before relying on information provided on the site in circumstances that may result in financial loss or damage.

You understand and acknowledge that you have no ownership rights in your account and that if you cancel your account or your account is terminated, all your account information from City Jobs UKincluding CVs, profiles, cover letters, saved jobs, questionnaires will be deleted from City Jobs UK database.

Third parties may retain saved copies of your information.

City Jobs UK reserves the right to delete your account and all of your information in the event that any of our terms have been breached by you.

By registering your CV in City Jobs UK, you agree that we may also store and show your CV and profile details, to recruiters via affiliates.

 

Additional Terms for Recruiters

On receipt by us of your submitted information via our online form, email, telephone agreement or signed service agreement, you will be deemed to have accepted all of these terms and conditions and will be granted access (subject to us receiving payment) to our database in accordance with these terms and conditions.

You also agree that all of the information you supply to us is correct, truthful, and complete.

Payment Terms

You agree to the payment structure agreed with your account manager and agree to be charged in accordance with it.

All prices are in GBP(£).

Third-party payments are only authorised upon the consent of the cardholder and we have received a direct email and verbal confirmation of permission to process payment.

Your statutory rights are not affected.

City Jobs UK. (referred to as “us” or “we”) respect your privacy and are committed to protecting your personal data. City Jobs UK. is a personal data controller.

 

This means that we are responsible for deciding how we hold and use personal data about you. This notice is aimed at informing you of how and why your personal data will be used, namely for the purposes of the recruitment exercise, and how long it will be retained for. It provides you with certain information that must be provided under the General Data Protection Regulation ((EU) 2016/679) (GDPR) and the local data protection law.

 

DATA PROTECTION PRINCIPLES  

We will comply with data protection law and principles, which means that your data will be:

  • Used lawfully, fairly and in a transparent way.
  • Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
  • Relevant to the purposes we have told you about and limited only to those purposes.
  • Accurate and kept up to date.
  • Maintained only for as long as necessary for the purposes we have told you about, i.e. in relation to the recruitment exercise.
  • Kept securely and protected against unauthorised or unlawful processing and against loss or destruction using appropriate technical and organisational measures.

THE KIND OF DATA WE HOLD ABOUT YOU  

In connection with your application, we will collect, use and store the following categories of personal data about you:

  • The data you have provided to us in your curriculum vitae (CV) and the personal data contained in your covering letter.
  • The data you have provided on our application form, including name, title, home/term address, telephone number, personal email address, date of birth, gender, employment history, qualifications, nationality, social media accounts, profession, professional memberships, educational achievements, diplomas, transcripts, languages, computer skills, national service completion (if applicable), identification number and any data you provide us during interviews at our premises.
  • Any personal data provided to us about you by your referees [ if applicable].

 HOW IS YOUR PERSONAL DATA COLLECTED?  

We collect personal data about candidates from the following sources:

  • You, the candidate.
  • Your named referees, from whom we collect the following categories of data: full name, periods of previous employment, performance during previous employment.
  • From publicly accessible sources, such as Linkedin, etc., where we collect your full name, email, work history, and other data included on your profile.

HOW WE WILL USE DATA ABOUT YOU  

We will use the personal data we collect about you to:

  • Assess your skills, qualifications, and suitability for the role.
  • Carry out background and reference checks, where applicable.
  • Communicate with you about the recruitment process.
  • Keep records related to our hiring processes.
  • Comply with legal or regulatory requirements. 

 

Having received your CV and any covering letter or results from any tests you took, we will then process that data to decide whether you meet the basic requirements to be shortlisted for interviews is at the discretion of the potential employer/ hiring manager.

 

If you fail to provide personal data

If you fail to provide personal data when requested, which is necessary for us to consider your application (such as evidence of qualifications or work history), we may not be able to process your application further. For example, if we require references for any role and you fail to provide us with relevant details, we will not be able to take your application further.

 

HOW WE USE PARTICULARLY SENSITIVE PERSONAL DATA  

We will use your sensitive personal data only in so far as we are permitted by Law to do so :

  • We will use data about your disability status to consider whether we need to provide appropriate adjustments during the recruitment process, for example whether adjustments need to be made during a test or interview.
  • We will use data about your nationality or ethnicity, to assess whether a work permit and a visa will be necessary for any role.

AUTOMATED DECISION-MAKING  

You will not be subject to decisions that will have a significant impact on you based solely on automated decision-making.

DATA SHARING  

We will only share your personal data with the following third parties for the purposes of processing your application: City Jobs UK. All of our third-party service providers and other entities in the group are required to take appropriate security measures to protect your personal data in line with our policies. We do not allow our third-party service providers to use your personal data for their own purposes. We only permit them to process your personal data for specified purposes and in accordance with our instructions.

DATA SECURITY  

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered, or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need-to-know. They will only process your personal data on our specific instructions and they are subject to a duty of confidentiality. Details of these measures may be obtained from our website privacy notice.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

DATA RETENTION  

We will retain your personal data for a period of 3 years after your last application date [ if you are unsuccessful we shall retain your personal data for 6 months or for a period of 3 years upon your explicit consent]. We retain your personal data for that period so that we can show, in the event of a legal claim, that we have not discriminated against candidates on prohibited grounds and that we have conducted the recruitment exercise in a fair and transparent way. We further retain such personal data in case a similar role becomes vacant for which you will be a fitting candidate. Please ensure that your data is kept up to date at all times. After this period, we will securely destroy your personal data in accordance with our data retention policy.

RIGHTS OF ACCESS, CORRECTION, ERASURE, AND RESTRICTION  

Your rights in connection with personal data

Under certain circumstances, by law, you have the right to:

  • Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
  • Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data corrected.
  • Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have exercised your right to object to processing (see below).
  • Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal data for direct marketing purposes.
  • Request the restriction of processing of your personal data. This enables you to ask us to suspend the processing of personal data about you, for example if you want us to establish its accuracy or the reason for processing it.
  • Request the transfer of your personal data to another party.

Your Account Certain Services will only be available as part of an account on the Site.

If you enter into an agreement for an account, you can use additional Services as described hereinafter. You can register for an account as described in section 3.

Once you register with the US, we will create an account where you can also upload your CV.

We understand that you will not be a graduate forever and would want to move on to searching for professional jobs.

You can create a CV-profile (“Profile”) within your account, which will consist of various CV related pieces of information as well as attachments provided by you. It will also keep a record of your activity on our Platforms. You have a number of options when deciding how much of this information recruiters can see.

The default when you sign up is for recruiters to be able to see your profile. This includes your CV and your “Last Active” date (see below for more information on this). You can change the visibility of your profile at any time.

We will also share your application history (jobs you have applied for and when you applied for them) unless you tell us not to. You can change this at any time.

You can use your Profile to apply to job offers that are published on the websites or apps. The respective recruiting company will then have access to your profile even if it is not generally available and will be able to see the data you provided. However, they will not be able to see your application history if you have chosen not to share this. We will also use the data you have provided as part of your Profile to provide you with job ad recommendations tailored to your needs based on your Profile data. To provide you with the specific Services under the Profile, we will store the date of your last activity on our Platforms (“Last Active” date), which will be the date you most recently updated your profile or CV or the date you last applied for jobs using the Services.

As part of an active and public Profile, we may also provide a link to a profile about you on a publicly available business-related social media website we have found about you to CV Database search users. Such access to CV Database can also be provided through browser plugins or other software that we or our group companies offer and which will allow our customers to access your CV if they visit certain social media websites.

If you choose to create a Profile with us, then we will keep your CV on file until you ask us to delete your account from our database.

We do not warrant or guarantee a minimum volume of storage capacity for your Profile. We reserve the right to temporarily or permanently restrict the data volume for uploads of data, especially if necessary due to technical reasons, for example in order to maintain or optimise the Service.
